THE BUYING GUIDE

How to choose accounting software

Choose for the way your business records money, with input from your bookkeeper or accountant. An introductory discount is only one part of a system you may use for years.

  1. 01

Separate the ledger from supporting tools

Decide whether you need a main accounting system or help collecting paperwork for one you already use. Receipt capture does not replace a complete ledger. Write down where invoices, expenses and bank transactions should end up so that two tools do not create competing records.

  2. 02

Check the edition for your business

Confirm that the provider supports your business location, reporting needs and working currencies. Ask your accountant which outputs and records they need. Verify any required local filing capability directly with the provider rather than inferring it from a general accounting label.

  3. 03

    Test bank feeds and reconciliation

Check your actual banks and account types, how transactions arrive and how connection problems are handled. Try matching a payment, recording a transfer and correcting a duplicate. A feed is useful only if someone can review and reconcile its results reliably.

  4. 04

Run a representative document through it

Use a real receipt or supplier invoice to test capture, extraction, approval and posting. Check how corrections work, which fields reach your accounts and where the original file is stored. Include a credit note or a less tidy document if those are common in your business.

  5. 05

    Plan access and migration

Confirm accountant access, staff permissions and any charges for additional users or businesses. Before moving systems, test opening balances, customer records and exports with the person responsible for your accounts. Decide how you will retain older documents and retrieve them after cancellation.

  6. 06

Price a normal year of use

Compare the ongoing subscription with your expected invoices, documents, users and add-ons. Check whether the offer applies to your region and chosen billing schedule, when standard pricing begins and what cancellation requires. Confirm the final terms on the provider’s checkout page.

What is the difference between accounting software and receipt capture?

Accounting software holds the financial records used to organise transactions and produce reports. Receipt capture helps collect and prepare source documents for that process. A capture product can complement an accounting platform, but you should check the integration and decide who reviews the information before it becomes part of your books.

Does this category include every type of accounting tool?

No. The current WPism offers focus on accounting platforms and bookkeeping document capture. The selection is not a complete comparison of tax filing, inventory accounting, forecasting or specialist practice software. Treat those as separate requirements and verify the capabilities of any plan you consider.

Should my accountant help choose the software?

Yes, involve whoever prepares or reviews your accounts. Ask about their preferred workflow, access requirements, report formats and the practical cost of supporting another system. A tool your accountant can work with efficiently may be more useful than a larger introductory discount on an unfamiliar platform.

Can I connect my business bank account?

Check the provider’s supported banks for your country and account type. Also find out how often transactions sync, whether you need to renew access and how missing or duplicate entries are resolved. Test your own connection during a trial; a broad bank-feed claim does not confirm support for every account.

Can receipt extraction run without review?

Build review into your workflow. Extracted dates, amounts, tax fields and supplier details can need correction, especially on unusual documents. Test how the software flags uncertainty and how your team approves a record before posting it to the accounting system.

What should I check before switching accounting systems?

Agree a migration date and a record-retention plan with your accountant. Check opening balances, outstanding invoices, unpaid bills, document attachments and exports. Run a sample migration before committing and establish how you will retrieve historic information if the previous subscription ends.

Do accounting software offers apply to existing customers?

Eligibility varies by provider, regional edition and subscription. Some offers are limited to new organisations or particular plans. Read the individual WPism guide, then confirm the qualifying conditions and ongoing price with the provider before changing or creating an account.
